1. Reports

1.1. How can I email a report?

You can email a report as follows:

  1. Select the report on the main Reports tab, and set any filter or grouping data options as needed.
  2. Click the button in the toolbar labeled, "Open in new window".
  3. In the new window, select the menu option: File --> Send via email.


1.2. How can I add my company name to reports?

You can add your company name and logo to reports using the Options dialog. For step-by-step instructions, please see the following links:

2.1. How do I check assets IN?

3. Miscellaneous

3.1. How can I change the Status field selection values?

You can add, change, or delete selection field values in the lists for:

  • Status
  • Condition
  • Job Title
  • Service Type
  • Depreciation Method

by using the menu option: Tools --> Manage Selection Fields.

3.2. How do I audit assets?

You can perform an asset audit in Asset Manager to identify any missing assets. See the step-by-step instructions at the following link:

3.3. How can I set a database password?

Asset Manager has a basic database security option which allows you to set a password on the database. Users who know the password can enter it to have write access to the database. Users who do not know the password can login with read-only access. You can also allow the read-only users to Check Out and/or Check In assets.

3.4. How can I set the currency symbol displayed in Asset Manager?

Asset Manager will display the currency symbol that is set in the Windows Control Panel Regional and Language settings. See the links below for information about how to change the Currency setting in Windows.

Restart the software after changing the currency symbol in Windows.


3.5. How to bulk update personnel status

You can change the status to Inactive for a bulk list of personnel as follows:

  • First, backup the database (menu: File --> Backup) in case any mistakes are made so that you can restore it.
  • Next, export a list of your personnel using the menu option: Tools --> Export, then select "Personnel" as the record type.
  • Open the exported list in Excel, and delete all columns except for "PERSONNELBARCODE" and "PERSONNELSTATUS". You should then have a list which contains only those two columns in it.
  • Set the Status values to Inactive as needed, and then save the file as .csv.
  • Next, select the menu option: Tools --> Import, and then select the .csv file which you saved.
  • Check the "Field Mapping" tab to confirm that the fields are mapped correctly from source to destination.
  • On the "Import" tab, check the box to "Update matching records". This will update the Status values for the records in your list.


4. Barcodes and Scanners

4.1. How can I test my barcode scanner?

You can test your barcode scanner for use in Asset Manager as described in the user guide at the following link:

4.2. What barcode readers work with Asset Manager?

Asset Manager will work with scanners that support keyboard emulation - these are the types of barcode readers that you hook up to your computer and they send keystrokes to the computer as if they were typed in. We don't have a specific model or brand to recommend, but if you are new to it, there are very inexpensive ones available that allow you to learn how it works with Asset Manager without a big up front investment.

About Barcode Readers
Asset Manager works with all types of barcode readers that support keyboard emulation (most do). These readers are sometimes referred to as "keyboard wedge" or just "wedge" type scanners. These type of barcode readers plug into your computer through a USB port, and when a barcode is scanned, the reader sends the barcode number to your computer just as if you had typed it in using the keyboard. The advantage the barcode scanner brings is that it can be faster and more accurate than typing in the barcode number yourself, and it will bring up the existing records in the database quickly. There are a variety of models available, and we recommend getting started with a model in the $25 - $75 range. About Barcode Readers

Check-In/Check Out With Asset Manager
When you're entering an Asset, you can let Asset Manager assign the barcode number for you using the default Automatic setting, or if the item already has a barcode, you can set the asset number to manual and then place the cursor in the text box before scanning the barcode to use the existing barcode. Note that the each barcode must be unique for each item, so you would only use this option if you have unique barcodes already assigned to items perhaps from a previous system. For example, you would not be able to use the model number barcode to uniquely identify the item if you have multiple items with the same model number.

There are different ways to check out an item in Asset Manager depending on the task you are working on at the moment. For example, when you are on the Personnel screen, and then scan the personnel badge, the personnel record will open to begin checking out multiple items to them (for example to set up a new employee), or you scan a barcode on the Asset screen and open an individual Asset record to check out or check in. Printing Barcode Labels
Asset Manager comes with templates for printing barcodes on standard barcode labels on a standard printer. The barcodes are printed in the standard "Code 128" format. To print one label at a time, you will need a stand-alone printer such as a DYMO LabelWriter 400.
